Creating the Best Framework in the Pre-Production Phase to Ensure Success

 

As planners, we accept the privilege and responsibility in exceeding our client’s expectations. When creating an exceptional event experience, there are many critical elements to consider when developing the best framework in the pre-production phase. This session will address the following:

  • Being proactive – not reactive in all phases of planning
  • Understanding the vision/goals of your client from the beginning
  • Understanding stakeholders’ objectives / budgets, etc.
  • Defining the resources you/the client will need to engage to be successful
  • Developing an action plan with check-in points, along with creating a plan B (with client/vendors/stakeholders)
  • With framework set, event logistics can now be set in motion o
    • Checklists, etc.
    • Accountability (who’s on first)
    • ‘Round table Communication’ / engaging all parties in discussion, creating a better buy-in so everyone feels a part of the bigger picture

Since 2003, AJ’s experience has ranged from managing events for government, corporate and non-profit clients, the proposal process and event conceptualization, to project execution and evaluation. He has developed and produced international workshops in Turkey and India as well as domestic events throughout the U.S. and Washington, DC. With a passion for tours and transportation logistics, AJ has been the project manager for multiple trade missions for the U.S. government, providing pre-tour logistics and travel coordination, onsite tour management and personal concierge services for delegates from Chile, Nigeria, Colombia, Morocco, Vietnam and India.  AJ has also coordinated transportation and security for the Texas State Society Inaugural Ball; a U.S. Coast Guard ship commissioning, dedicated by the First Lady Michelle Obama; and a week-long convention in rural and National Park locations for the Congressional Medal of Honor Society.

Chana brings to CSI Washington DC an abundance of industry-related experience including ten years as a top producer at a popular DC area caterer. During her tenure, Chana successfully planned, produced, and executed a wide range of corporate, social, political, and university-based events. Some of her past clients included NBC News, CNN, BET, Smithsonian National Museum of African Art, The Group, American Red Cross, Cato Institute, and The University of Maryland's Executive MBA Program, where she managed their full-service catering program. Chana takes pride in her commitment to clients by building and retaining long-term relationships and exceeding expectations. A native of the DC area, she knows and loves our Nation’s Capital, while enjoying a passion for travel.
