Job Title: King Street Corridor Initiative Event Manager

Reports To: President & CEO

Position Summary: The King Street Corridor Initiative Event Manager serves as Visit Alexandria’s key staff person responsible for event project management related to the King Street Corridor Initiative, a partnership focusing on beautification, programming and marketing of Alexandria’s historic downtown corridor, spearheaded by the City of Alexandria and Visit Alexandria. The initiative’s goal is to maintain the corridor’s competitiveness amidst the emergence of new highly-funded destinations in the Washington, D.C. region. This project-based staff position is responsible for: event project management, partner relationship coordination, and communication, evaluation and reporting. The ideal candidate is collaborative and detail-oriented.

Overview

The King Street Corridor Initiative is a partnership focusing on beautification, programming and marketing of Alexandria’s historic downtown corridor, spearheaded by the City of Alexandria and Visit Alexandria, and supported by multiple City departments and more than a dozen private funders. In addition to leading the marketing component of the initiative, Visit Alexandria is leading the initiative’s programming plans in close coordination with multiple City departments as well as local businesses and organizations. Programming includes activation and events throughout the King Street corridor including Portside in Old Town happenings at the waterfront.

Visit Alexandria seeks a highly organized individual to work full time as the King Street Corridor Initiative Event Manager. This is a project-specific staff position that runs through June 2020, and which may be extended with the renewal of overall initiative funding. The position will be part of a dynamic team promoting Alexandria, a city whose reputation is rapidly growing. The ideal candidate will be a skilled administrator and relationship manager who can coordinate logistics and permitting, while engaging with existing and potential partners to produce high-level outstanding public events that are authentic to Alexandria’s character. The candidate should have a familiarity with and love of the city and be a skilled communicator. The candidate is goals-driven and manages the ongoing evaluation and reporting on various events and initiatives.

Event Roster

The King Street Corridor Initiative Event Manager will produce events including:

  • Portside in Old Town spring event
  • Portside in Old Town Festival in October
  • Alexandria Holiday Boat Parade of Lights, first Saturday of December
  • Support periodic Portside activations at the waterfront
  • Support periodic retail activations along King Street

Essential Duties and Responsibilities

The following responsibilities will be the duty of the King Street Corridor Initiative Event Manager and will be applied to each of the key priorities outlined above:

Project management

  • Thinks strategically and fosters goals discussion so clear objectives are established prior to a project plan being implemented
  • Creates master timeline of initiative components for appropriate pacing of activation as well as resources for execution
  • Crafts individual project plans, timelines and task lists for each event and program
  • Creates detailed and comprehensive budgets reflecting competitive bids and maintains ongoing expense tracking to ensure that initiative funds are paced to last for the fiscal year
  • Manages ongoing check-in meetings and communications with key staff and external project partners to ensure that programs stay on the projected timeline and budget

Administrative management

  • Sets meetings for Visit Alexandria with local businesses, the City of Alexandria, vendors and other organizations
  • Draft agendas for meetings
  • Manages meeting needs such as booking rooms, printing documents and arranging refreshments when applicable
  • Takes notes at meetings and sends recap emails with key action items
  • Coordinates all logistics with outside vendors and partners

Event management

  • Keeps the visitor experience top of mind and ensures that all events have Visit Alexandria’s stamp of excellence
  • Uses event expertise to provide professional recommendation for items needed to have a highly successful event
  • Handles the permitting process for all special events
  • Secures competitive quotes from vendors and provides recommendations
  • Meets advance marketing deadlines by providing descriptive marketing copy
  • Conducts advance and day-of training with all event staff, vendors and volunteers to ensure that they are educated and helpful for visitors at the event
  • Creates comprehensive resource documents prior to all events, such as contact sheets, FAQs, schematics, etc.
  • Anticipates alternative scenarios and ensures that plans and back-up plans are in place, so events run smoothly
  • Recruits/hires external event staff and volunteers as necessary
  • Serves as the on-site supervisor at key events

Partner relationship management

  • Manages relationships with Visit Alexandria members, partners and vendors for key events and initiatives
  • Maintains ongoing partner communication during event planning process, including securing promotional copy and images when necessary
  • Supports Visit Alexandria’s President & CEO and COO as they work to secure sponsors (may include assisting with presentation, drafting memos, arranging meetings or arranging special VIP events)
  • Maintains sponsorship proposal documents and ensures timely fulfillment of deliverables
  • Creates plan for and manages regular communication with King Street Corridor Initiative funders
  • Produces partner cultivation events

City coordination

  • Schedules and conducts all necessary meetings for coordination with City of Alexandria
  • Represents Visit Alexandria at City meetings such as the Special Events Committee meeting
  • Meets deadlines for all applications, schematics, documentation and meetings needed for City of Alexandria permits (such as parking, sanitation, transportation, fire, police, food and safety, etc.)

Evaluation and reporting

  • Thinks strategically in advance of events and initiatives of the type of evaluation metrics that need to be in place in order to properly report on them after
  • Puts surveys, measurement and reporting in place during and after events using the newly created evaluation system to track and report on all key events and initiatives
  • Develops an evaluation system that seeks to capture measurements of particular events while also looking at the big, long-term picture that would track historical trends
  • Gathers data, photos and other materials needed for grants and City reporting

Other

  • Researches other successful visitor-oriented events in the D.C. region, including attending events to create first-hand accounts of the attendee experience
  • Creates a spreadsheet to report on the competitive analysis of area events, which will guide Visit Alexandria’s planning

  • Proven experience in event management and production
  • Excellent project management with a talent for creating detailed project plans, task lists, budgets and reporting

The candidate is a skilled project manager, balancing ongoing media coverage tracking and departmental reports while assisting with a variety of media relations, marketing and event management projects. The Communications Associate & Writer is an integral member of Visit Alexandria’s Content Team.

Essential Duties and Responsibilities

Writing, Editing and Content Creation

  • Writes, proofreads, edits and contributes content for communication channels targeting the leisure travel audience, including Visit Alexandria’s website, VisitAlexandriaVA.com, the Official Alexandria Visitor Guide, advertorial articles and more.
  • Writes, proofreads, edits and contributes content for meetings, groups and weddings communication tools, including the website, sales materials and more.
  • Manages and serves as the primary writer for visitALX, Visit Alexandria’s blog, utilizing project management skills to develop and maintain an evolving calendar of timely posts that depict Alexandria’s authentic character and trends while meeting organization-wide marketing goals. Manages a timeline of blog post creation that includes drafting outlines for team input, writing posts based on thoughtful research, sourcing compelling images and getting final approvals.
  • Assists with photography when images are needed for the blog.
  • Contributes to social media content and messaging.
  • Assists with various media relations tactics, including drafting fact sheets, proactive pitches and other materials as needed.
  • Attends planning meetings and stays abreast of organizational priorities.
  • Assists with special projects as necessary.

Research and Reporting

  • Researches and records media coverage resulting from recent press visits, writer inquiries and proactive pitches, evaluates the type of coverage achieved, and maintains the department’s Qualitative Measurement Tracking System spreadsheet.
  • Reports regularly on departmental goals, including a monthly report and quarterly assessment of media coverage goals.
  • Scans print media coverage and creates various public relations reports when needed, recapping special projects such as the annual Alexandria Holiday Boat Parade of Lights and Alexandria Wedding Showcase.

Member Engagement

  • Manages seasonal event listing collection through communication with more than 20 Visit Alexandria member businesses and local event organizers, tracking responses and need for follow-up, and editing submissions for use in press releases, on the website and more.
  • Explores the city and develops relationships with member businesses, uncovering trends and story ideas.

Event Management Support

  • Provides event management support through assistance with logistical planning and on-site staff coverage. 

Qualifications

  • B.A. degree in communications, PR, journalism, writing or a related field
  • Detail-oriented proofreader and editor who follows brand guidelines including AP Style
  • Excellent project management with an interest in the evaluation aspect of public relations
  • Effective storyteller with outstanding writing skills
  • Positive energy and excellent interpersonal skills; ability to interact with a wide variety of people, both internally and externally
  • Demonstrated initiative, ownership and time management skills
  • Ability to creatively approach problems and assigned projects

Project Title: Meetings Travel Blog Writing and Management

Reports To: Communications Manager while also working closely on the development of each blog with Visit Alexandria’s Senior VP of Sales

Project Summary: Visit Alexandria seeks a meetings industry writer to develop content for Visit Alexandria’s meetings travel blog, Meet ALX, which launched in January of 2018. This ongoing monthly project requires research, writing and uploading to WordPress. The successful vendor will produce a minimum of one blog post between 500 to 800 words with 3 to 5 images selected from Visit Alexandria’s image library every month for the duration of the contract. The goal is to highlight stories that will be of interest to meeting planners nationwide while simultaneously highlighting Alexandria as an ideal destination for small- to mid-size meetings.

Project Scope of Work:

  • Work with Visit Alexandria’s Communications Manager and Senior VP of Sales to create one relevant blog per month; topics to be determined from Visit Alexandria’s proposed content calendar and suggested input from contractor based on current industry trends and hot issues; each post to involve research, pairing Alexandria assets with the month’s topic, writing, image collection (from external sources as well as Visit Alexandria’s library) and posting a draft of the blog to WordPress.
  • Pending monthly content topics, additional blog posts may be required promoting Alexandria’s top destination attributes for meeting planners.
  • Stay on top of trends in the meetings industry.
